MINUTES

In attendance were Board Members George McNitt, Ken Patterson, Tom Holmes, Gus Martell and John Bridges. There were four Glades Homeowners in attendance.

The meeting was called to order at 6:30 PM by President McNitt.

1 Approval of the September 24 regular meeting minutes. Martell motioned we approve the minutes, seconded by Holmes and carried.

2 OLD BUSINESS: McNitt reviewed the history of the Glades Insurance coverage with the Fisher Brown Insurance Agency. Last year the general liability coverage was $3854 which included $2336 for four ponds in Glades II. While there are only three ponds in Glades II the Fisher Brown premium should have been $1752 for the ponds. Bridges asked the Coastal Community Insurance Agency to get General Liability quotes for the November 6, 2009 renewal date. Their commercial agent came up with a quote of $1596 from the Scottsdale Insurance Company which includes the three ponds in Glades II at a total cost of $318, a reduction of 82% or $1,434. By combining the General Liability and Officer/Director policies, we have realized a $2,066 annual savings for the Association. Martell motioned we renew both policies through Coastal. It was seconded by Holmes and carried. McNitt asked that the minutes include special thanks to John Bridges and Tom Crusey for all their time and effort in bringing this to fruition. Judy Lee advised that on the advice of his Insurance Agent, Mr. Burnham has declined to accept the proposal to sign a license agreement for the ponds. Mr. Burnham’s letter is attached to these minutes.

3 Patterson motioned and Holmes seconded a proposal which carried to give the pumps and fountains associated with the Glades II ponds to the Hombre Golf Club in exchange of the Club assuming any related costs for removing the pumps and fountains from the Glades II ponds. Judy Lee reported the Hombre would cut the grass around hole six. As to the grass around the ponds, Judy recommended we not have a maintenance agreement, but to pay as needed. Also, she recommended we send a letter to the Glades II owners that the proposal for Mr. Burnham to license the ponds fell through.

4 In view of the reduced maintenance and Insurance expense, McNitt discussed Glades II assessment for next year. He says the electrical for the pump in the middle pond that irrigates portions of Glades II is a minimal expense which could be absorbed by Glades I. Also, McNitt reviewed the 2008 fence proposals from the previous board ranging from almost $30,000 for replacement to $1000 for temporary repairs. In a general discussion, Tom Easter suggested planting some low maintenance hedges around the front of the fences and not maintain the fences. After some discussion, the general consensus was that Glades II assessments for next year should be reduced to $75.00 to cover potential fence replacement, Insurance and any other charges. It was agreed there would be no change in the $200 assessment for Glades I.

5 McNitt gave an update on the Grand Heron signs. He has a proposal from Contractor, John Spiller for a two sided sign for the center island, two smaller signs on each side of the entrance/exit, paver installation, all electrical work and site preparation included for a cost of $23,250 and a cost of $1200 for the sign lettering for a total of $24,450. Landscaping is not included in the proposal. Martell motioned approval, Holmes seconded and the motion carried with the understanding we will have a formal contract.

6 Treasurers Report: A total of 6 Homeowners have not paid the $100 fees for the sign improvement and three of the six have not paid their annual assessment. Patterson has sent warning letters of possible liens. McNitt proposed writing off a receivable on Bob Friese which was a chargeback for services billed in error. Proposal seconded by Martell and carried. Holmes motioned acceptance of Treasurer’s report, seconded by Martell and carried.

7 Environmental Report: Martell reported continuing problems with yard at 98 Hombre Circle but is continuing to contact owners. A trailer is reported to be parked in a drive on Glades Turn. Martell will handle. Drainage problems and unkempt ditches owned by the Golf Course and Edgewater Estates are recurring. McNitt has talked with management who has promised correction. Bridges motioned to accept report, seconded by Holmes and carried.

8 NEW BUSINESS: McNitt discussed the timing of the return of nominations which should be no later than January 15, 2010. Holmes recommended sending the nominee applicants to the homeowners by first class mail to ensure prompt receipt.

9 McNitt proposed we consider installing a flagpole at each entrance to the Glades. He says a 20 foot fiberglass pole would cost $549 each with a cost of $30 for a polyester flag. These poles should withstand winds of 180 mph. It is something to think about and it was agreed to table until the January 2010 meeting.

10 There being no more business, Holmes motioned for adjournment and seconded by Martell. The meeting adjourned at 8:06 PM.
